EXHIBITOR SERVICE CENTER
FREEMAN is the Official General Contractor of ISC WEST and will maintain an Exhibitor Service Center during set-up, show days and dismantling. All other official show contractors will also be set up in this area as well. Any inquiries regarding booth services and orders should be made at the Exhibitor Service Center, including booth furnishings, labor, freight, utilities, and special show services. Exhibitors who have ordered labor are asked to check in at this desk when they are ready to install their exhibits.

ISC West is a TARGETED SHOW. Download the COLOR-CODED TARGET FLOORPLAN which will give you your specific targeted date & time for move-in. Targeted move-in is for delivery of freight; you do not have to begin construction of your booth on your target date/time, but your freight shipment(s) should be at the convention center on that date and time. Obviously, your installation cannot begin until your freight is delivered and any utilities you need have been installed, so be certain to order these in advance of move-in. Keep in mind, your target date & time applies to when your shipment(s) must be received by - it does not mean you must begin to set-up your booth at that time.

All exhibits must be fully installed by Tuesday, March 27, 2012 at 5:00 PM.
OVERTIME CHARGES APPLY to any work performed before 8:00 AM and after 5:00 PM on weekdays and anytime on Saturday, Sunday and Holidays.
NOTE: Permission to erect booth space will be withheld from any company who has not submitted full payment of their exhibitor space rental fee or adverting/sponsorship fees.
It is highly recommended that you ship your freight in advance to the warehouse, as warehouse freight is delivered to the show floor first, and is automatically “on target”. Show site shipments are unloaded on a first-come-first-serve-basis. Please do not schedule any labor until the end of your target window. For example, if your target window is 10:00 AM - 1:00 PM, it is best to request your labor to report to your booth no earlier than 1:00 PM.
If you require utilities (electric, telephone, internet, etc.), your carpet cannot be installed until the utilities have been installed. Exhibitors are reminded that during move-in, display materials/products will be allowed to enter the Sands Expo & Convention Center via loading docks and designated entrances ONLY.
Any booth not occupied by 3:00 PM, Tuesday, March 27, 2012, will be presumed abandoned. If there is freight in the booth and Show Management believes the Exhibitor will be arriving late, the General Contractor will set up the display to the best of their ability with the information available. If there is no freight in the booth and/or Show Management believes the Exhibitor will not participate in the show, the booth will be reassigned. Exhibitors arriving after this time will be given space available and may incur additional costs. ALL EXHIBITS MUST BE COMPLETELY SET BY 5:00 PM, Tuesday, March 27, 2012. No shipment will be accepted after 5:00 PM, Tuesday, March 27, 2012, or at any time on Wednesday, March 28, 2012. Absolutely no shipment, equipment or material may be brought onto the show floor during show hours.
Removal of excess trash/debris in the aisles AFTER 5:00 PM, Tuesday, March 27, 2012, will be billed to the exhibitor(s) responsible for creating such excess trash/debris. The Fire Marshal will not permit the show to open if there are any boxes, cartons, visqueen, packing material, etc. in the aisles.

Exhibits officially close at 3:00 PM, Friday, March 30, 2012, at which time Freeman will begin removing aisle carpet. Please facilitate this effort by keeping the aisles around your booth clear until the aisle carpet has been removed. No exhibits or display may be dismantled, packed or removed in whole or in part before the official close of the show on Friday, March 30, 2012 at 3:00 PM.
Following removal of aisle carpet, delivery of empty crates and containers will begin. This entire process will take about 7 hours. Make arrangements for someone to stay with your booth until it is completely packed, labeled and outbound Material Handling Agreements have been turned in at the Exhibitor Service Center. Remember that trucks which have checked into the Marshalling Yard WILL NOT be dispatched to a loading dock for your materials unless the outbound Material Handling Agreement has been turned in at the Exhibitor Service Center.
Although security measures are in place after the show closes, ultimate responsibility for the security of product rests with each exhibitor. Safety containers are available through FREEMAN and security staffing is available through Century Security. Please refer to the OFFICIAL CONTRACTORS section of this manual to access the booth security order form.
In accordance with display rules and regulations and security measures, no one under the age of 18, INCLUDING INFANTS, will be admitted in the exhibit hall at any time. There will be no exceptions.
SHOW INFORMATION (A-Z GUIDE)
2013 ISC WEST SPACE SELECTION - Sign up for the 2013 ISC WEST SHOW at the Sales Booth. Next years show dates are April 10 – April 12, 2013, right here at the Sands Expo & Convention Center.
AGE RESTRICTIONS - In accordance with display rules and regulations and security measures, no one under the age of 18, INCLUDING INFANTS, will be admitted in the exhibit hall at any time. There will be no exceptions.
AIR CONDITIONING AND HEATING
Air conditioning and / or heating on the show floor of the SECC is provided during show days and hours only.
ANIMALS IN THE Sands Expo & Convention Center - Animals are not permitted on the Center’s premises except in conjunction with an approved exhibit or as service animals for the physically challenged. Animals that are approved to be on the Center’s premises must be on a leash, within a pen or under similar control at all times. The owner will be fully responsible for their animal(s). Animal exhibits are not permitted in carpeted areas of the Center.
AUDIO VISUAL - FREEMAN Audio Visual Solutions, Inc. is the official audio/visual service contractor of ISC WEST. Please refer to the OFFICIAL CONTRACTORS section of this manual. Order forms for these services should be completed and returned by March 9, 2012 to take advantage of discount pricing. Please be sure to indicate your booth number on all forms. FREEMAN AV will maintain a full staff on-site at the Exhibitor Service Center.
BALLOONS – Mylar balloons are specifically prohibited. Helium balloons are prohibited in linear booths or booths with an allowable height of 12’ or less. Use of balloons in other booth configurations is subject to approval by Show Management and Sands Expo/Venetian Hotel. Please refer to the FACILITY/UTILITIES section of this manual for detailed information. Helium may not be stored on the premises. Balloons inside the facility must remain “tethered” to a fixed object. The balloon may be no larger than thirty-six inches (36") in diameter and must have approval prior to move-in of event from the Sands Event Services Manager and the Fire Marshal. There is a labor and equipment charge to retrieve balloons in the ceiling should they become loose.
BOOTH EQUIPMENT – Each 10’x10’ booth will be set with 8’ high back drape, 3’ high side dividers and a 7”x44” one-line identification sign.

BOOTH FURNISHINGS - Booth equipment, services and furnishings are available through the Official General Contractor, FREEMAN. Please refer to the GENERAL CONTRACTOR section of this manual for more information. Order forms for these services should be completed and returned by March 9, 2012 to take advantage of discount pricing. Please be sure to indicate your booth number on all forms. FREEMAN will maintain a full staff on-site at the Exhibitor Service Center.
BUSINESS CENTER SERVICES – Located in the front lobby, the Sands Expo & Convention Center operates a full-service business center to provide copy/fax services, cell phone/pager rental, and small package shipping, etc.
CAMERA POLICY - Personal cameras and video taping equipment are strictly prohibited in all exhibit areas. Authorized press personnel and photographers must register for ISC West badges in the Press Office. If you plan to photograph your booth using someone other than the Official Show Photographer, you must make arrangements through the Press Office.
CATERING - Sands Expo Catering has exclusive rights to all catering in the facility. Visit Sands Expo to place your catering order online. All of your food & beverage needs are available - from basic coffee service, meeting room functions and booth deliveries, to receptions, theme parties, full banquets and more.
Because their ordering menu is quite large and they can customize items as requested, they have not placed their catering menu on the web ordering system. Please phone their Customer Service department at (702) 733-5070 or email ses@sandsEXPO.com and request a copy of the catering menu for our specific event.
CLEANING - Cleaning crews will be provided for general exhibit hall clean up, including aisles, each day before the opening of the show and during show hours. If you need cleaning services in your booth - vacuuming, shampooing - you must order these services from SES. Visit Sands Expo to place your custodial order online. Show Management will only provide vacuuming the evening of Tuesday, March 27, 2012, for booth carpet ordered thru and/or provided by Freeman. Should you want vacuuming on any remaining show evenings, and/or your carpet was NOT provided by FREEMAN, you must submit an order with Sands Expo for this service.
COMPUTER RENTAL - National Micro-Rentals (NMR) is the official computer supplier of ISC WEST. Please refer to the OFFICIAL CONTRACTORS section of this manual and be sure to indicate your booth number on all forms. National Micro-Rentals (NMR) will maintain a full staff on-site at the Exhibitor Service Center.
COPYRIGHTED MUSIC - If any copyrighted music is to be played in your booth, you must obtain all necessary licenses from the copyright owner or licensing agency representing the copyright owner. The licensing requirements include the playing of live, as well as recorded music, (records, tapes, compact discs, etc.) and also include music, whether it is the essence of the presentation or is only used as background, on a videotape or other presentation.
The proper license must be posted in your booth and available for inspection at the request of Show Management or properly authorized agents of ASCAP or BMI. We advise you to contact these agencies as listed below to acquire the proper licenses:

Adherence to these federally mandated copyright licensing laws is of critical importance. Failure to do so is both a violation of federal copyright law, and a breach of your contract for exhibit space for the show.
CRATE REMOVAL, STORAGE AND RETURN - Empty crates, shipping containers, cardboard boxes, etc. marked with “EMPTY STICKERS” will be removed to storage and returned to your booth at the end of the show by our floor crew at no additional charge, provided you have used material handling services for the delivery of your booth. Do not store merchandise in crates or cartons marked for empty storage or behind booths- this is prohibited due to Fire Regulations in the building. “EMPTY STICKERS” can be acquired from the FREEMAN desk located at the Exhibitor Service Center. Please label your materials as soon as they are ready to be removed. We ask your cooperation in this important matter so that we can clean the aisles and install aisle carpet.
DEMONSTRATION AREAS - Demonstration areas must be confined within the exhibit space so as not to interfere with any traffic in the aisles. Exhibitors must contract sufficient space to be able to comply with this rule. When large crowds gather to watch a demonstration and interfere with the flow of traffic down the aisles or create excessive crowds at neighboring booths, it is an infringement on the rights of other Exhibitors. Aisles may not be obstructed at any time.
DEMONSTRATION EQUIPMENT - Equipment, product or machinery, when displayed to demonstrate or simulate industrial application, are exempt from the foregoing height limits, but are restricted only by ceiling height, as well as, building and safety codes.
DISPLAY BOOTH SPECIFICATIONS AND GUIDELINES - Exhibitor’s display booth(s) shall conform to the following specifications - the maximum height of a display booth at the backwall, including any form of lighting system, signage, or header shall be:
In-Line (standard) booth - 12’
Peninsula booth - 16’
Island booth - 25’

DISPLAY RULES & REGULATIONS – Please scroll to the end of this document to review the Display Rules & Regulations in detail.
DISTRIBUTION OF FOOD, BEVERAGES AND TOBACCO - All food, beverages and concessions are operated and controlled exclusively by the Center’s Food Service Department. Arrangement for serving food and/or beverages must be made through the Catering Manager. Food and/or beverages will not be allowed on the premises unless purchased through the Center’s Food Service Department or as an approved exhibit by the legal manufacturer and/or distributor.
The Center has exclusive contracts with certain food and beverage providers, e.g., soft drink. Contact the Center’s Food Service Department for specific details.
A special permit is required from the State of Nevada for alcoholic beverage samples used as part of an exhibit or display. Contact the Event Services Department for permit procedures. Alcoholic beverages must be served according to Nevada Statutes, rules and regulations. Identification must be checked prior to serving alcoholic beverages, and distributing tobacco products. Tobacco products may not be consumed within the physical structure of the SECC, in compliance with no smoking laws.
ELECTRICAL - All electrical work, including booth lighting, will be done exclusively by Sands Expo & Convention Center electricians. Visit Sands Expo to place your electrical order(s) online.
EXHIBIT HALL CARPET – The exhibit areas (booths) are NOT carpeted. The aisles will be carpeted as listed under the BOOTH EQUIPMENT section. To enhance the appearance of your booth, rental carpet is available through FREEMAN. Please refer to the Carpet Brochure and Order Form in the FREEMAN Online Service Manual located in the GENERAL CONTRACTOR section of this manual.
EXHIBITOR PERSONNEL, BADGES, SHOW ACCESS - Exhibitor staff personnel wishing to enter the exhibit floor must wear an exhibitor badge at all times. Only booth personnel with an exhibitor badge can enter the exhibition hall prior to Show hours, or those individuals who made prior arrangements for meetings. (Please stop by Show Office on-site to make the proper arrangements if this has not already been so.)
Reed Exhibitions will furnish Exhibitor with ISC West badges for use by Exhibitor’s company management, company salesmen, and its distributors, whether domestic or foreign. Reed Exhibitions will also furnish badges for Exhibitor’s independent sales representatives whose names were supplied to Reed Exhibitions by Exhibitor. Exhibitor badges are NOT to be issued to buyers, source suppliers, ad agencies, importers / exporters, consultants, vendors, business agents / managers, and others who wish to gain admittance for the purpose of making contacts or any other purpose. Exhibitors will receive badges based on the total square footage of assigned booth space as outlined in the Exhibitor Manual. Exhibitor acknowledges that any badges in addition to those allotted as set forth the Exhibitor Manual shall be provided to Exhibitor at a per badge fee (whether the person attends ISC West or not), payable at time of order. Distributor and Independent Sales Rep badges are not included in your Exhibitor badge allotment.
- Exhibitor badges must be worn at all times during Move-In, Show days and Move-Out.
- Misuse of ISC West badges is strictly prohibited. Should such a violation occur, the badge will be reclaimed by Reed Exhibitions, and the wearer will be refused further entry into display areas for the duration of ISC West.
- Exhibitor must staff its booth(s) during all show hours of ISC West.
- Exhibitor personnel are permitted access to booth areas at 8:00am on Show days. For those individuals who still need a badge, one may be obtained at the Exhibitor Registration Counters.
- Exhibitor’s personnel must wear the official ISC West badge for admission. Security personnel will refuse entry into display areas to all persons not wearing the official ISC West badge.
The official ISC West badge is not to be altered in any manner (replaced with business card, company badge or hand written badge). Any alteration to ISC West badge may result in reclaiming the badge and refusing the wearer further entry into the display areas for the duration of ISC West.
In order for EXHIBITOR APPOINTED CONTRACTORS (EAC’s) to gain admittance into the Hall, Show Management requires each individual to wear a wrist band. For your convenience, wrist bands may be picked up at the Security Command Post in Room. Proper credentials will be required. Only three designated supervisors of approved EAC’s, will be issued the necessary credentials. Please do not give Exhibitor Badges to EAC personnel for Security reasons.

All on-site inquiries regarding booth services and orders booth furnishings, labor, freight should be made at the Exhibitor Service Center, including booth furnishings, labor, and freight. Exhibitors who have ordered labor are asked to check in at this desk when they are ready to install their exhibit.
The Sands Expo & Convention Center will also maintain a Service Center during set-up, show days and dismantling. Any on-site inquiries regarding orders for electrical, telephone, internet, booth cleaning, booth catering, booth lighting or compressed air/water/drain service should be made at the Sands Service Center.
The person in charge of your exhibit should carefully inspect and sign for all work order forms. If you disagree with a bill presented for your signature, question it immediately. If you cannot come to a satisfactory agreement with the contractor, contact Show Management. Do not put it off. Once the show has ended, it becomes very difficult to resolve issues.
EXPOSED AREAS MUST BE FINISHED - All backwalls, sidewalls or any other exposed areas of the display must be draped or finished surfaces.No graphics, logos, or print facing into another booth is allowed. Any company advertisement or promotion must face into the aisle. In-line and peninsula booths must have a finished backwall covering the back of the booth. See-through backwalls or displays which do not cover the backwall completely will not be allowed.
Please note that ALL FIRE HOSE CABINETS AND FIRE EXTINGUISHERS MUST BE KEPT VISIBLE AND CLEAR WITH A 36” CLEARANCE. FIRE EXTINGUISHERS MAY NOT BE REMOVED OR RELOCATED.
After 5:00 PM on Tuesday, March 27, 2012, any part of a booth with unfinished side or backwalls will be draped by Show Management at the expense of the exhibitor.
FACILITY LIGHTING - Lighting on the show floor of the SECC is provided at 50% on move-in and move-out days and at 100% on show days.
FEED THE WHALES - A whale is a mini-dumpster on wheels that is used to collect trash from the exhibit halls during move-in and move-out. We created this program to address safety and security concerns that have become apparent during move-in and move-out. It benefits everyone if we can keep the aisles clean in terms of streamlining move-in activities and maintaining a safe environment. It is imperative we work together so the Show opens “Clean”. Special plastic bags are available free of charge at the Floor Manager counters and at the FREEMAN Service Desk. Rather than throwing trash in the aisle, we ask exhibitors and their contractors to utilize these trash bags and dispose of them in the “Whales”. Some items that we really need your help on are visqueen, packing materials and general trash. Please note that ALL boxes MUST be broken down. Whales will be placed at various points along the main cross aisles. If you have any question at all, you can ask your Floor Manager.
The Whale Program will improve the working space on the show floor during move-in. It may also help to save you money on your own booth’s cleaning cost by keeping ahead of things. And lastly, we believe that this is absolutely necessary in order to maintain a safe work environment for everybody. An aisle full of trash is like a blocked fire exit. Please advise your booth personnel and designated set-up people of this program. Any Exhibitor or Contractor who throw any type of trash (including poly) into the aisle on Tuesday morning prior to Show opening, will not only be charged for the trash removal but will risk their participation at future Shows.
FIRE AND SAFETY REGULATIONS - The City of Las Vegas Fire Department, in conjunction with the Sands Expo & Convention Center, has very specific fire regulations/restrictions and permit requirements regarding display material within the exhibit hall. Review these regulations
FLOOR COVERING GUIDELINES - Reed Exhibitions will furnish carpet for all aisleways in the SECC, and the daily cleaning and vacuuming of all aisleways in all exhibition areas. Floor covering is required in all display booth areas. Flooring may consist of hard wood, astroturf or carpeting. No vinyl or linoleum may be used. Carpet is available through the Official Service Contractor at Exhibitor’s expense, or Exhibitor may provide his own carpet. Booth vacuuming is not included with the rental of carpeting from the Official Service Contractor. It must be ordered separately.
FLOOR MANAGERS - We have professional Floor Managers working on the Show floor. If you have any questions, problems, or need any information at all, please stop by to see them. Counters are staffed from the first day of installation through the end of dismantling.
FLORAL/PLANT RENTAL - ExpoEase is the official florist of ISC WEST. Please refer to the OFFICIAL CONTRACTORS section of this manual. Order forms for these services should be completed and returned by March 23, 2012 to take advantage of discount pricing. Please be sure to indicate your booth number on all forms. ExpoEase will maintain a full staff on-site at the Exhibitor Service Center.
FOOD & BEVERAGE DISTRIBUTION -
All exhibitors serving food and/or beverage must comply with the rules and regulations set forth by the Sands Expo & Venetian Catering Departments. Please refer to the Exhibitor Menu Form found in the OFFICIAL CONTRACTORS section of this manual for all rules and regulations pertaining to Food Service. No Outside Food & Beverage is allowed and Sands Expo & Venetian Catering is the exclusive provider of all catering services at the Sands Expo & Convention Center.
GOOD TASTE AND THE RIGHTS OF OTHERS - Show Management may require any Exhibitor to make changes in their exhibit if, in Show Management’s opinion, the exhibit does not conform to prevailing standards.
GRAPHICS ON NEIGHBORS’ SIDE - The backside of walls – the common border facing a neighboring booth – must be clear of copy, logos, or other graphics, so as not to be an eyesore to neighboring exhibitors.
GREEN INITIAVITES – ISC WEST is committed to reduce, reuse, and recycle approach to planning and producing our shows. Recycling waste, trash and other paper products and using recycled products are just a few of the steps we have taken toward “green” tradeshow experience.
For example sending out this Service Manual in a web based format conserves over 150,000 pieces of paper previously used for the 3-ring binder format!
Here are a few examples of what you can do to help the environment:
- Reduce, Reuse, Recycle
- Sign your office up for a recycling program: paper, plastic, cans, etc.
- Develop an online ordering system for your buyers.
- Reduce marketing on paper by opting for more electronic communication, email attendees after the show.
- Design your booth display to last for 5 years or longer using natural fibers.
- Practice Green Purchasing where ever possible by specifying Environmentally Preferable Products (EPP). These products or services contain recycled content, minimize waste, conserve energy or water, and reduce the amount of toxics disposed or consumed.
- Reduce packing material by utilizing recyclable materials and take advantage of convention center recycling options for packaging.
- Donate extra amenities or promotional products to local charities rather than shipping them back or tossing them in the trash.
Reed Exhibitions has implemented the following programs and purchasing habits in an effort to reduce the amount of waste generated and encourage our clients and vendors to Reduce, Reuse and Recycle whenever possible.
- We have successfully implemented Express Badge on many shows, allowing attendees to print their badge on demand at show site. This process reduces the printing and mailing of unnecessary badges.
- Our offices are set up to recycle paper, plastic, cans.
- We design a show look for a minimum of 3 year lifecycle and recycle graphics for the same period.
- We have reduced paper communications both internally and externally by opting for electronic communication.
- Producing an on-line exhibitor manual reduces our paper consumption by over 150,000 sheets on this show alone.
- Where ever possible we partner with local charities to provide donation opportunities for our exhibitors as a way to “reuse” leftover products and merchandise, thus saving on packing materials and carbon emissions by not shipping home. A great way to “Reuse” material for a good cause.
HANDOUTS – Exhibitors cannot distribute literature, samples, or other material outside your contracted exhibit space.
HANGING SIGNS - Hanging signs must comply with display regulations. This includes all hanging or suspended material such as banners and balloons (where permitted), etc. The top of the sign (or other material) may not exceed the height limitation specific to your type of booth. Booths which qualify to suspend “hanging signs” are only Island, Peninsula or Walk-Through booths of 400 sq. ft. or larger.
HEIGHT LIMITATIONS - ISC WEST follows the cubic content rule, which allows exhibitors to make maximum use of their booth space. Under the cubic content rule, exhibitors may build up to the front of their booths, and up to the maximum allowable height according to booth type as indicated below.

INSPECTION DEADLINE - Any booth not occupied by 3:00 PM, Tuesday, March 27, 2012, will be presumed abandoned. If there is freight in the booth and Show Management believes the Exhibitor will be arriving late, the General Contractor will set up the display to the best of their ability with the information available. If there is no freight in the booth and/or Show Management believes the Exhibitor will not participate in the show, the booth will be reassigned. Exhibitors arriving after this time will be given space available and may incur additional costs. ALL EXHIBITS MUST BE COMPLETELY SET BY 5:00 PM, TUESDAY, MARCH 27, 2012. No shipment will be accepted after 5:00 PM, Tuesday, March 27, 2012, or at any time on Wednesday, March 28, 2012. Absolutely no shipment, equipment or material may be brought onto the show floor during show hours.
INTERNATIONAL SHIPPING - TWI Group, Inc. is the official provider of international shipping, customs brokerage, freight forwarding and related services for the show. All merchandise imported into the United States requires Custom House Clearance prior to release from any USA port or airport. It is the sole responsibility of the exhibitor to adhere to customs and international guidelines.
The exhibitor must insure that all documents are valid and complete, and procedures are followed correctly. Show management will not be held liable for freight held up due to customs issues, duty payments or any other problems related to inbound and outbound international shipments. Visit the SHIPPING section for more information. TWI Group, Inc. will maintain a full staff on-site at the Exhibitor Service Center.
LABOR ORDERS – Please make arrangements for the dismantling of your booth by Thursday afternoon, March 29, 2012. Only then can you be reasonably assured of a start time.
LABOR REGULATIONS – The City of Las Vegas has several major unions that have jurisdiction over trade shows. Please plan now to abide by labor regulations. FREEMAN is the official labor contractor. Labor arrangements may be made to set-up, service and dismantle your exhibit. Information regarding labor jurisdiction can be found in the GENERAL CONTRACTOR section of this manual. If you have any further questions or would like a quote for labor services, you may contact Freeman directly at (702) 579-1700.
There are 3 distinct ways a booth can be set-up and dismantled.
- Hire FREEMAN labor – GENERAL CONTRACTOR section of this manual
- Hire an Exhibitor Appointed Contractor (EAC) - EXHIBITOR APPOINTED CONTRACTOR section of this manual.
- If you are plan to set-up your own booth
- Exhibitor is required to have with a Certificate of Insurance which names Reed Exhibitions and others (see the Certificate of Insurance sample) as an additional insured as well as documentation of full-time employee status such as paycheck stub or health insurance card. If you cannot produce the required documentation, the personnel without the required documentation will have to vacate the premises and you will need to hire labor from the General Contractor.
Examples of individuals NOT ELIGIBLE to perform booth set up and dismantle are: MANUFACTURERS REPRESENTATIVES, DISTRIBUTORS, SPOUSES, RELATIVES, TEMPORARY OR DAY LABOR AND PART TIME EMPLOYEES OF ANY TYPE.
Floor Managers and Insurance Safety personnel will be on hand to check for adherence to the booth set up and dismantle guidelines. The safety of all people on the show floor is a prime concern to everyone. People without the proper documentation will be asked to leave the show floor.
LEAD RETRIEVAL SYSTEMS – Pleaserefer to the EXHIBITOR BADGES/LEAD RETRIEVAL section of this manual for more information.
LIABILITY AND INSURANCE - Exhibitors are advised to see that their regular company insurance includes coverage outside of company premises and that they have their own theft, public liability and property damage insurance. Show Management and its contractors will not be responsible for injury or damage that may occur to an exhibitor or his/her employees or agents, nor to the safety of any exhibit or other property against theft, fire, accident, or any other destructive causes. Please review the space contract for details.
Exhibitor is required to maintain, at its own expense, commercial general liability insurance at a minimum amount of $1,000,000, with the exception of Exhibitors having a multi-level exhibit, where the required commercial general liability insurance shall be at a minimum of $5,000,000, naming Reed Exhibitions as “Additional Insured”. Exhibitor shall also maintain the appropriate Workers’ Compensation insurance as required by law and adequate Burglary, Robbery and Theft coverage for monies, properties and merchandise pertaining to ISC West, March 24 – April 01, 2012. Reed Exhibitions, their officers, directors, employees and agents, and the Sands Expo & Convention Center will not be liable for any injury to any person that may occur in the exhibit area or for the loss of or damage to any material from any cause whatsoever, whether in transit, or before, during or after ISC West, regardless of whether Reed Exhibitions furnishes attendants, guards or night watchmen. It is expressly acknowledged that Reed Exhibitions has not purchased insurance of any kind for the benefit of Exhibitor, nor is it under any obligation to do so. The Exhibitor shall indemnify Reed Exhibitions against and hold it harmless from any negligent acts performed by Exhibitor or Exhibitor’s officers, directors, employees or agents of Exhibitor or in connection with Exhibitor’s use of display space.
A. Exhibitor hereby waives any and all claims against Reed Exhibitions, their officers, directors, employees, agents and the SECC, resulting from loss, theft, damage or destruction to its property or loss from any cause whatsoever (including, but not limited to, damage to its business from delay, mechanical failure, labor trouble, failure to provide space in ISC West, or failure to hold ISC West as scheduled), or from bodily injuries or personal injury to it, its agents or employees. Exhibitor shall obtain at its option and at its own expense, adequate insurance against such injury, loss or damage.
B. Exhibitor assumes full and complete responsibility for any damage or destruction of the property of others, or from Exhibitor’s participation during the period of ISC West.
C. Exhibitors are not required to supply Reed Exhibitions with a copy of the Certificate of Insurance, however, it is suggested that Exhibitor have a copy of the Certificate of Insurance at ISC West.
D. Exhibitors using services other than those provided by the Official Service Contractor must Inform all Exhibitor Designated Contractors of the insurance requirements and guidelines applying to them as outlined in the Rules and Regulations for the Use of Exhibitor Designated Contractors, contained in Section 11 of the Rules & Regulations Handbook. Exhibitor Designated Contractor personnel will not be permitted on the show floor until these requirements have been met.
LICENSE AGREEMENT - Please be sure you have read the space application for your booth for all exhibition rules and regulations. It is the exhibitor’s responsibility to adhere to all rules pertaining to your license agreement.
MATERIAL HANDLING AGREEMENTS/ SHIPPING INFORMATION - All freight that is to be shipped from the Sands Expo & Convention Center must be accompanied by a Material Handling Agreement unless you have small pieces which you intend to hand carry. All pieces must also be labeled with the booth name and number, as well as destination. Material Handling Agreements may be obtained from FREEMAN at the Exhibitor Service Center. You must have your exhibit completely dismantled and packed before returning your completed Material Handling Agreement to the FREEMAN Service Desk.
MATERIAL HANDLING (DRAYAGE) SERVICES - FREEMAN is the exclusive material handling provider on the exhibit floor. They will receive all shipments, whether consigned in advance to their warehouse, or sent directly to the Sands Expo & Convention Center. Material handling includes storage during show days and return of your empty cartons and crates at the close of the Show. Again for 2012, ISC WEST and FREEMAN have partnered to offer all exhibitors an additional 10% discount on all material handling services ordered and paid for before March, 9, 2012, the advance order discount deadline. This form and payment will only be accepted from exhibitors; EXHIBITOR-DESIGNATED CONTRACTORS MAY NOT submit this form and/or payment. MEETINGS IN YOUR BOOTH - If you plan to use your booth to conduct meetings before or after official show hours, you must fax the following information to, Rich Askintowicz at (203) 840-9419 or email raskintowicz@reedexpo.com by March 16, 2012. PLEASE NOTE: All attendees and booth personnel must have a badge to enter the exhibit hall.
- A letter requesting early access to the Show floor for non-exhibitor personnel. Please state the exhibiting company, company contact with phone and e-mail, and booth number.
- List the non-exhibitor personnel and type of badge they will be wearing.
- State the time and date of the meeting.
- State the name of the exhibitor who will meet the non-exhibitor personnel at the entrance to the show, and escort them directly to the booth.
- Access to the floor during non-show hours will be denied unless Show Management receives this written request in advance.
AFTER-HOURS IN-BOOTH HOSPITALITY -Exhibitors wishing to hold hospitality events in their booth on the show floor, which would extend after the show has closed for the day, or which would begin prior to the close of the show and extend after the show has closed for the day, MUST complete the AFTER-HOURS IN-BOOTH HOSPITALITY FORM for consideration. In-booth hospitality functions are required to end no later than 7:00 p.m. on Wednesday, March 28, 2012 and Thursday, March 29, 2012. No after-hours, in-booth hospitality functions will be authorized for the final show day, Friday, March 30, 2012.
If your request is approved, you must order security guards from the Official Security vendor, according to the formula below, to ensure your guests do not wander from your booth into neighboring booths that are unattended after show hours. Placement of this order will be confirmed with the official security vendor two weeks prior to the date of your function.
MULTI-LEVEL / COVERED EXHIBITS GUIDELINES – please refer to the detailed Display Rule & Regulations guidelines section at the end of this document
NO FREIGHT AISLES - All items left in “NO FREIGHT” aisles during move-in and move-out will be moved into the booth by the Official Service Contractor, to avoid delays and ensure a timely move-in and move-out process. “NO FREIGHT” aisles are required by Clark County Fire Rescue Division, and will be clearly marked.
OUTBOUND SHIPPING - FREEMAN Transportation is the Official Carrier of the ISC WEST. Please refer to the SHIPPING section of this manual for further information and assistance regarding Air Freight, Padded Van Lines, and Common Carrier. FREEMAN Transportation will maintain a full staff on-site at the Exhibitor Service Center.
PARKING - No overnight parking is allowed, the Venetian has ample parking lots located onsite at the Venetian and Palazzo Hotels.
PERSONNEL ALLOWED DURING MOVE-IN / MOVE-OUT - In the interest of safety, only those full time employees and sales representatives of exhibiting companies and authorized personnel of Exhibitor Designated Contractors directly responsible for the set-up and dismantling of the booth will be permitted in the exhibit areas during move-in and move-out dates and hours, consistent with Nevada state labor laws. Under no circumstance will family, guests or children (under the age of 18) be allowed on the show floor during move-in and/or move-out.
PHOTOGRAPHY - Oscar/Einzig Photography is the official photographer. Please refer to the Oscar/Einzig Order Form under the OFFICIAL CONTRACTORS section of this manual.
PERSONALLY OPERATED VEHICLES (POVs) - All personally owned vehicles (POVs) will unload/load at the POV staging area located on Sands Avenue between Koval Lane and Manhattan Road (before Paradise). Please enter from Sands Avenue. Please refer to the POV Service Map located in the SHIPPING section of this manual.
SALE, DELIVERY OF GOODS, AND PRODUCT REMOVAL FROM FACILITY - Retail sales of merchandise during ISC West is strictly prohibited. “Retail sale” means any sale, other than bona fide commercial sale, for resale at a later time and place. The sale of sample goods is strictly prohibited except to bona fide commercial buyers for resale at a later time and place. Any such sample goods are to be delivered ONLY after the conclusion of ISC West and must be accompanied by the Exhibitor’s bill of sale for verification by security personnel. Violation of this provision subjects Exhibitor to cancellation of its exhibit space without refund.
Removal, sale and / or delivery of merchandise prior to the conclusion of ISC West is strictly prohibited. Should Exhibitor wish to exchange soiled, worn or damaged floor samples for fresh merchandise, product release forms must be obtained from the designated property check points, completed by Exhibitor and submitted to security personnel at the exit with the merchandise to be exchanged.
SECURITY - Century Security is the official booth security company. Please refer to the Century Security Order Form under the OFFICIAL CONTRACTORS section of this manual.
Show Management will provide perimeter security personnel on a 24 hour basis during the entire period of the show (including installation and dismantle). Every reasonable effort will be made to prevent loss, however the final responsibility for booth contents lies with the exhibitor. If you have items in your booth that are vulnerable to theft, take them with you when you leave the building for the day.

SMOKING POLICY - Smoking is prohibited in all areas of the Sands Expo & Convention Center, including lobbies and stairwells, at all times.

SHUTTLE BUSES - Complimentary shuttle bus service will provide exhibitors and attendees with transportation from the Sands Expo & Convention Center to select official hotels (see below for excluded hotels) in the afternoon daily, beginning Wednesday, March 28 through Friday, March 30, 2012. Shuttles will NOT be provided to Venetian/Palazzo, Mirage, Treasure Island or Encore/Wynn as these are considered walking distance hotels. Airport shuttle service is available from the Sands Expo & Convention Center to McCarran International Airport, Friday, March, 30 2012, from 1:00 PM – 5:00 PM. Airport bound buses will depart every hour on the hour.
SOUND LEVELS - Sound level of presentation should be kept within the confines of the booth area and must not interfere with neighboring exhibits. Show management will exercise their right to provide and maintain a fair exhibiting environment to all customers. Excessive sound can be offensive and distracting. Each Exhibitor is entitled to an atmosphere that is conducive to conducting business, without excess noise from other Exhibitors. Any audio equipment (i.e., sound system, audio from a video wall, microphones), whether in the booth or as part of a display, may not exceed a sound level of eighty-five (85) decibels. Reed Exhibitions will be sensitive and responsive to complaints registered by spectators, neighboring Exhibitors, or other personnel, and will have appointees to respond to all complaints.
TELEPHONE SERVICES / INTERNET LINES - All telecommunication services including internet lines will be handled through Sands Expo. Visit Sands Expo to place your telephone and/or internet order(s) online. Place your order by the advance order discount deadline of March 17, 2012 for the best pricing.
UNAUTHORIZED MERCHANDISE
- Reed Exhibitions expressly prohibits the unauthorized sale, display and / or exhibition of merchandise which violates any registered trademark rights, copyright rights, and / or any rights in a person(s) or entity’s name, likeness and / or identity.
- Reed Exhibitions shall provide notice to the Exhibitor in the event it is brought to Reed Exhibitions’ attention and verified to Reed Exhibitions’ objective satisfaction that an Exhibitor violates any of the rights identified in subparagraph 1 above.
Reed Exhibitions reserves the right to ask Exhibitor to produce appropriate documentation verifying that Exhibitor has the right or license to sell the merchandise. In the event Exhibitor cannot produce such documentation, Exhibitor shall be required to remove the Unauthorized Merchandise from Exhibitor’s booth immediately.
- Reed Exhibitions expressly reserves the right to terminate the Application & License Agreement immediately and remove Exhibitor from the show upon Exhibitor’s failure to comply with the terms set forth in subparagraph 2 above.
USE OF EXHIBIT SPACE
It is expressly agreed that exhibit space is assigned subject to the following terms and conditions:
- For purposes of this paragraph, “persons” means any natural person or any corporation, partnership or other domestic, or foreign, business entity.
- An Exhibitor may lease space from Reed Exhibitions under the definite understanding that its product(s) and / or service(s) are deemed by Reed Exhibitions to be directly related to the security trade.
- All exhibits in ISC West 2012 shall be officially housed in the Sands Expo & Convention Center (SECC). Exhibits are not allowed outside the SECC without prior approval of Reed Exhibitions.
- Exhibit space assigned is for the SOLE AND EXCLUSIVE USE OF THE ASSIGNED EXHIBITOR. EXHIBITOR SHALL NOT REASSIGN OR SUBLEASE ITS EXHIBIT SPACE to any person, firm or other entity. No Exhibitor is permitted to show goods other than those manufactured or handled by Exhibitor in the regular course of business. Use of the assigned exhibit space for the display of products of persons other than the Exhibitor is a violation of the Rules and Regulations, and subjects Exhibitor to cancellation of Exhibitor’s display space without refund. No person, firm or other entity not assigned space in the SECC will be permitted to solicit business in any manner anywhere in the SECC or in proximity to the property of the SECC.
- Exhibitor shall display its products or services only in the exhibit space assigned by Reed Exhibitions. Exhibitor is expressly prohibited from displaying its products or services in any space, including, but not limited to, aisle space, public space, lobby, parking lot, loading dock, restaurant, or any other space not assigned and/or authorized by Reed Exhibitions.
- If Exhibitor’s assigned booth space is separated by an aisle, the booths, numbering at least two (2) on either side of the aisle, must be a uniform and equal number, and the aisle separating the booths must remain clear for foot traffic.
- Distribution in any manner, at any time beginning 7:00 AM Wednesday, March 28, 2012 through and including 3:00 PM, Friday, March 30, 2012, of any product, literature and/or promotional items by Exhibitor personnel or its agents, including models retained by Exhibitor and wearing apparel of an advertising nature, shall be strictly confined to the exhibit space assigned by Reed Exhibitions and/or any official, approved distribution point(s) designated by Reed Exhibitions.
- Reed Exhibitions has an absolute right to require Exhibitor to change, alter, modify or remove any or all parts of Exhibitor’s display including, but not limited to, signs, cards or other printed material, stands, display cases or other physical structures, and any items being displayed by Exhibitor, which Reed Exhibitions, in its sole discretion, deems unsuitable for its Show.
USE OF IMAGE / LIKENESS / EXHIBITOR NAME / EXHIBITOR LOGO - Exhibitor, Exhibitor’s employees, agents and representatives irrevocably consent to be identified, photographed, recorded, video recorded and grants to Reed Exhibitions, its subsidiaries, affiliates, successors, assigns and licensees, the right in perpetuity to use only photographs, recordings and / or video tapes which may contain the image, likeness, name or logo of Exhibitor for the promotion of future trade shows operated by Reed Exhibitions in any and all media throughout the world.
VENDOR INVOICES - Show Management will have personnel on hand throughout the course of the show to consult with exhibitors regarding any bills received from service companies. If there is any question as to the charges made, please consult with our show representatives before paying the bill. Do not wait until after the show to settle problems that can be easily resolved at the Convention Center.
BASIC SECURITY RECOMMENDATIONS
- Unpack product as close to the Show opening as possible. At the close of the Show, we suggest that you stay at your booth until these valuables are repacked.
- Treat especially valuable goods such as prototypes as irreplaceable. If they truly are one-of-a-kind, hire your own security guard. Under no circumstances should such goods ever be left unattended. Plasma Screens & Flat Screens, DVD’s, televisions, laptops, and other electronic devices are particularly vulnerable to theft. Remove tapes or discs at night and store them in a safe place. ep close tabs on personal items (cell phones, purses, laptops, briefcases, etc.).
- Do not put articles of any value in a container marked “EMPTY STORAGE”, or behind booth.
- Exhibitor personnel must wear official Show Exhibitor badges at all times during move-in, show days and move-out. Please do not give Exhibitor Badges to anyone other than your full time employees and remove all badges from the building when you leave on your last day there. Badges left behind are often abused by unauthorized personnel so do not leave them in your booth or discard on the floor.
- At the close of business each day, cover all display tables. This establishes a barrier to curiosity seekers and other would-be thieves from selecting such items to steal at a later time.
- Place your wastebasket along the aisle at the end of each day to facilitate trash removal.
Immediately report to security, or Show Management, the presence of any unauthorized visitors, or suspicious activity on the show floor.
ISC WEST closes on Friday, March 30, 2012 at 3:00 PM. Other than aisle carpet personnel, labor will not be admitted to the Show floor until 4:00 PM. Secure all valuables immediately!
- Pack and label product and remove them, or hire Security until you can secure them properly. It is essential that exhibitor personnel remain in their exhibit areas until their display materials are secured. All small articles which can be easily picked up should be securely packed before you leave your booth after the Show closes at 3:00 pm. Remember, during teardown, stay with your exhibit until your empty cartons are delivered and your goods are packed, sealed and properly labeled.
- Do not leave material in your booth unlabeled at any time during move-out because many things could happen: it may be presumed abandoned; mistaken for trash; or one of your neighboring booths might label it in error!
- At the close of the show please be sure to secure all electronic equipment especially plasma screens, flat screens, laptops, and any electronic equipment.
DON’T LEAVE YOUR BOOTH UNATTENDED UNTIL YOUR MERCHANDISE IS SECURE - Our objective is to make your show experience as worthwhile and profitable as it can be. Adhering to these simple security recommendations will go a long way to ensure your success!
DISPLAY RULES & REGULATIONS
The following rules and guidelines specify what an exhibitor can and cannot do with their booth space. These rules and guidelines are based on the physical characteristics of the exhibit hall, the intent to be equally fair to all exhibitors, and the safety of all concerned. Please review these rules and plan your display accordingly as variances will not be granted prior to the show or on-site.
BALLOONS – Mylar balloons are specifically prohibited. Helium balloons are prohibited in linear booths or booths with an allowable height of 12’ or less. Use of balloons in other booth configurations is subject to approval by Show Management and Sands Expo/Venetian Hotel. Please refer to the FACILITY/UTILITIES section of this manual for detailed information. Helium may not be stored on the premises. Balloons inside the facility must remain “tethered” to a fixed object. The balloon may be no larger than thirty-six inches (36") in diameter and must have approval prior to move-in of event from the Sands Event Services Manager and the Fire Marshal. There is a labor and equipment charge to retrieve balloons in the ceiling should they become loose.
DEMONSTRATION AREAS - Demonstration areas must be confined within the exhibit space so as not to interfere with any traffic in the aisles. Exhibitors must contract sufficient space to be able to comply with this rule. When large crowds gather to watch a demonstration and interfere with the flow of traffic down the aisles or create excessive crowds at neighboring booths, it is an infringement on the rights of other Exhibitors. Aisles may not be obstructed at any time.
DEMONSTRATION EQUIPMENT - Equipment, product or machinery, when displayed to demonstrate or simulate industrial application, are exempt from the foregoing height limits, but are restricted only by ceiling height, as well as, building and safety codes.
DISPLAY BOOTH SPECIFICATIONS AND GUIDELINES
- Exhibitor’s display booth(s) shall conform to the following specifications:
- The maximum height of a display booth at the backwall, including any form of lighting system, signage, or header shall be:
In-Line (standard) booth - 12’
Peninsula booth - 16’
Island booth - 25’

- Hard backwalls must leave a nine inch clearance at the rear of the booth for access to electrical equipment, etc. Back to back hard walls must have eighteen inches between the hard walls.
- Island booths are required to submit one booth diagram with each order for electrical, telecommunications, plumbing and compressed air. Diagrams must be forwarded to the appropriate service provider as indicated on each form and must adhere to the following guidelines:
- Be scaled plans.
- Include the Show name and dates.
- Include Exhibitor’s name and assigned booth number.
- Include directional information (i.e., indicate neighboring aisles and / or exhibits).
- Include location(s) of service(s) being ordered (i.e., telephone, fax lines, electric, etc.)
- A separate diagram must be submitted with each order.
- Maximum travel distance from one entry/exit to another entry/exit from any point within a display booth must not exceed fifty feet. If travel distance exceeds fifty feet, an additional entry/exit must be provided.
- Any covered area, regardless of square footage of area to be covered, within an exhibit or a multi-level display, must submit blue prints by February 27, 2012, for review of such construction. See Section 4, GUIDELINES FOR MULTI-LEVEL / COVERED EXHIBITS, for precise requirements.
- In all cases, Reed Exhibitions shall have the absolute right to require Exhibitor, at Exhibitor’s expense, to change, alter, modify or remove all or part of his exhibit or display booth. Grounds for such action shall include, but not be limited to:
- Lack of aesthetic uniformity or harmony with other display booths at ISC West.
- Non-compliance with express restrictions on the dimensions of the display booth or any part thereof, whether contained in the Application & License Agreement for Exhibition Participation, Rules & Regulations Handbook or the Exhibitor Manual.Objectionable noises or odors emanating from the display booth.
- Objectionable signs or lights in the display booth.
- Obstruction of aisles or of other display booths. Tables, demonstrations, sampling and / or celebrity appearances must be placed a minimum of four feet from the aisle, in booths that are ten feet in depth. For booths greater than ten feet in depth, the set back is a minimum of ten feet.
- Objectionable clothing or attire, or lack thereof, worn by Exhibitor’s personnel, his agents or models.
- Exhibitor shall not store boxes, crates, construction materials or any other materials in or around the display booth area. Any unfinished and / or exposed part of a display booth must be draped at Exhibitor’s expense.
- All food and beverages to be served and / or consumed in specifically designated areas of the SECC, and / or Exhibitor’s display, must be purchased from or approved by the exclusive food service contractor at the SECC. All charges for such food and beverages are the sole and direct responsibility of the Exhibitor and shall not be billed through Reed Exhibitions, nor shall Reed Exhibitions assume responsibility or liability for them.
- Exhibitor must strictly comply with all fire, safety and electrical regulations of Clark County, Nevada, and the SECC. Combustible materials will not be allowed within the SECC, and no Exhibitor will be allowed to put up or operate any combustible engine, motor or machinery on the premises. All construction materials used in Exhibitor’s display booth must be flame proofed. Compressed gas cylinders of any kind are strictly prohibited.
- The fastening of screws, staples, nails, signs, decals or other devices and objects to any part of the SECC’s property is strictly prohibited. Exhibitor shall be responsible for any damage it causes to any part of the SECC and is responsible for all cost for repairs of same.
Photography and / or graphic reproduction of Exhibitor’s booths and products displayed therein, without the prior permission of the Exhibitor and Reed Exhibitions, is strictly prohibited.
EXPOSED AREAS MUST BE FINISHED - All backwalls, sidewalls or any other exposed areas of the display must be draped or finished surfaces.No graphics, logos, or print facing into another booth is allowed. Any company advertisement or promotion must face into the aisle. In-line and peninsula booths must have a finished backwall covering the back of the booth. See-through backwalls or displays which do not cover the backwall completely will not be allowed.
Please note that ALL FIRE HOSE CABINETS AND FIRE EXTINGUISHERS MUST BE KEPT VISIBLE AND CLEAR WITH A 36” CLEARANCE. FIRE EXTINGUISHERS MAY NOT BE REMOVED OR RELOCATED.
After 5:00 PM on Tuesday, March 27, 2012, any part of a booth with unfinished side or backwalls will be draped by Show Management at the expense of the exhibitor.
GRAPHICS ON NEIGHBORS’ SIDE - The backside of walls – the common border facing a neighboring booth – must be clear of copy, logos, or other graphics, so as not to be an eyesore to neighboring exhibitors.
HANGING SIGNS - Hanging signs must comply with display regulations. This includes all hanging or suspended material such as banners and balloons (where permitted), etc. The top of the sign (or other material) may not exceed the height limitation specific to your type of booth. Booths which qualify to suspend “hanging signs” are only Island, Peninsula or Walk-Through booths of 400 sq. ft. or larger.
HEIGHT LIMITATIONS - ISC WEST follows the cubic content rule, which allows exhibitors to make maximum use of their booth space. Under the cubic content rule, exhibitors may build up to the front of their booths, and up to the maximum allowable height according to booth type as indicated below.

INSPECTION DEADLINE - Any booth not occupied by 3:00 PM, Tuesday, March 27, 2012, will be presumed abandoned. If there is freight in the booth and Show Management believes the Exhibitor will be arriving late, the General Contractor will set up the display to the best of their ability with the information available. If there is no freight in the booth and/or Show Management believes the Exhibitor will not participate in the show, the booth will be reassigned. Exhibitors arriving after this time will be given space available and may incur additional costs. ALL EXHIBITS MUST BE COMPLETELY SET BY 5:00 PM, TUESDAY, MARCH 27, 2012. No shipment will be accepted after 5:00 PM, Tuesday, March 27, 2012, or at any time on Wednesday, March 28, 2012. Absolutely no shipment, equipment or material may be brought onto the show floor during show hours.
MULTI-LEVEL / COVERED EXHIBITS GUIDELINES
- Multi-Level / Covered Exhibit Definition
- Covered - To place something over or upon an exhibit or portion of an exhibit (i.e., roof, ceiling, tenting, fabric, plastic).
- Multi-level - To construct a level or tier atop an exhibit or portion of an exhibit, whether to be occupied or unoccupied.
- Height - Exhibit fixtures, products, components and identification signs may not exceed the maximum height for the booth type.
- Guidelines for Multi-level / Covered Exhibits - Requests for the construction of multi-level or covered exhibits will be reviewed by Reed Exhibitions, Sands Expo & Convention Center Event Services Department, and Clark County Fire Department. To ensure the success of your exhibit, please read and comply with the following guidelines:

Plans must be submitted by the deadline of February 27, 2012, (even if you have used this display in prior ISC West events and it has been approved). Plans must adhere to the following:
- They must be scaled, sealed, signed and dated by a registered architect or engineer.
- They must include the Show name and dates.
- They must include Exhibitor’s name and assigned booth number.
- They must indicate maximum exhibit height, within the booth.
- All materials used in the construction of multi-level and / or covered exhibits and all decorative materials within the exhibit must be non-combustible or limited combustible (flame retardant) materials. Certificates of flame retardant treatment along with samples of said materials must be submitted when requested by the Clark County Fire Department.
- If the upper deck of a multi-level exhibit exceeds 300 square feet in area, it shall meet the following requirements:
- Upper deck rooms or other upper level areas may not have ceilings, roofs or covers installed.
- Exhibits which have an enclosed room or occupiable second story must post notice, on the outside of the room or at the bottom of the stairway, indicating the maximum people occupancy (or total weight load) of the second level permitted in the area at one time. If occupancy of second level is intended to be more than ten people at any one time, two stairways are required, remote from each other. The stairs must be a minimum of three feet in width, equipped with a handrail on at least one side and constitute a “straight run” or be “squared off”. Spiral stairs or winders ARE NOT PERMITTED.
- Upper decks or covered areas must be limited to dimensions which do not exceed 1,000 square feet in individual areas.
- If additional upper deck, or covered area, is required in excess of 1,000 square feet, a clear fire break (unobstructed aisle), of not less than ten feet on all sides of the structure must be provided to the separate area. This separate, additional area is also subject to 1,000 square feet maximum area. This clear fire break (unobstructed aisle) shall not contain combustible displays, furniture, or other materials which could abet transfer of fire to another area.
- The ten foot clear space may be spanned by a bridge or canopy which must not exceed four feet in width. The bridge or canopy should be of non-combustible materials.
- Interior protection, by an approved automatic extinguishing system, is required for
the following exhibit designs:
- Single level exhibits or structures which are covered with a canopy and / or ceiling.
- The first level of a multi-level exhibit or structure regardless of the square footage.
- All levels of a multi-level exhibit or structure provided that level is covered with a canopy and / or ceiling.
- A single exhibit or group of exhibits with an aggregate canopy and / or ceiling exceeding 300 square feet with less than ten feet between canopy and / or ceilings.
- Automatic sprinkler systems must be designed in accordance with Section 1003.2.3.3 of the 2000 edition of the Uniform Fire Code
- Extinguishing system designs must be part of the original plan submissions.
- Booths or structures that are protected by an automatic extinguishing system will have a flow alarm, audible and visual, within that area. This alarm is to be a local type, sounding in the vicinity of the booth or structure.
- Install single-station, battery operated smoke detector in the interior and exterior of each covered exhibit or multi-level structure, regardless of square footage. The detector will be an approved type and installed per manufacturer’s instructions. The smoke detector must sound an audible alarm. Operation of smoke detectors must be verified after installation.
- Portable, dry chemical fire extinguisher(s) will be required for each level of each covered booth or structure. At least one 2-A, 10-BC portable type fire extinguisher must be provided for each 300 square feet. Fire extinguisher(s) must be mounted in a visible location, near exit doors and accessible at all times.
- Alternative to Automatic Extinguishing System - When determined by Reed Exhibitions, Sands Expo & Convention Center, Event Services Department, and the Clark County Fire Department that temporary sprinkler installation is impractical, the following alternative protection may be allowed:
- Reed Exhibitions must provide 24-hour fire watch for all multi-level exhibits, regardless of square footage, and all exhibits exceeding 300 covered square feet. Fire watch will commence with installation of the upper deck, or ceiling, and continue until the upper deck or ceiling is removed.
- Exhibitor must install a single-station, battery operated smoke detector in the interior and exterior of each covered exhibit or multi-level structure, regardless of square footage. The detector will be an approved type and installed per manufacturer’s instructions. The smoke detector must sound an audible alarm.
- Exhibitor must provide a portable, dry chemical fire extinguisher(s) for each level of each covered exhibit or structure. At least one 2-A, 10-BC portable type fire extinguisher must be provided for each 300 square feet. Fire extinguisher(s) must be mounted in a visible location, near exit doors, and accessible at all times.
- Insurance Requirements for Multi-Level Displays - Exhibitor is required to carry, at its own expense, commercial general liability insurance at a minimum amount of $5,000,000, as well as Workers’ Compensation insurance as required by law and adequate Burglary, Robbery and Theft insurance covering monies, properties and merchandise pertaining to ISC West, April 1 – 10, 2011. Reed Exhibitions shall be designated as additional insured in the policies evidencing such coverage.
Reed Exhibitions, their officers, directors, employees and agents, and the Sands Expo & Convention Center will not be liable for any injury to any person that may occur in the exhibit area or for the loss of or damage to any material from any cause whatsoever, whether in transit, or before, during or after ISC West, regardless of whether Reed Exhibitions furnishes attendants, guards or night watchmen. It is expressly acknowledged that Reed Exhibitions has not purchased insurance of any kind for the benefit of the Exhibitor, nor is it under any obligation to do so. The Exhibitor shall indemnify Reed Exhibitions against and hold harmless from negligence of the Exhibitor or in connection with the Exhibitor’s use of the display space.
SOUND LEVELS - Sound level of presentation should be kept within the confines of the booth area and must not interfere with neighboring exhibits. Show management will exercise their right to provide and maintain a fair exhibiting environment to all customers. Excessive sound can be offensive and distracting. Each Exhibitor is entitled to an atmosphere that is conducive to conducting business, without excess noise from other Exhibitors. Any audio equipment (i.e., sound system, audio from a video wall, microphones), whether in the booth or as part of a display, may not exceed a sound level of eighty-five (85) decibels. Reed Exhibitions will be sensitive and responsive to complaints registered by spectators, neighboring Exhibitors, or other personnel, and will have appointees to respond to all complaints.
The following rules and regulations will apply to ensure the appropriate business atmosphere of the ISC West 2012:
- Self-supported audio equipment must be directed inwardly, toward your exhibit, as opposed to outwardly toward aisles or neighboring exhibits.
- Audio equipment must not violate the height restriction applicable to the booth.
- Decibel levels will be measured from the center of surrounding aisles. In the event audio equipment exceeds the 85 decibel requirement or is determined, by Reed Exhibitions, to affect neighboring Exhibitors negatively, the following procedures will be in effect:
- First Notice: The offending Exhibitor will be notified and asked to comply with the stated guidelines. This notice will be documented.
- Second Notice: The offending Exhibitor will be issued a written caution, noting violation of sound limits has been repeated, and will be instructed to reduce the volume immediately.
- Third and Final Notice: The exhibit’s electrical source(s) will be terminated, at Exhibitor’s expense, for the remainder of the day. The Exhibitor will be given a 15 minute window of time prior to termination of electrical service, to take necessary precautions for their equipment. The Exhibitor will assume full responsibility for any damage to their exhibit or demonstration resulting from their failure to adhere to show rules. Electrical service may be reconnected, the following day prior to show opening, at Exhibitor’s expense.
In addition to decibel measurements, Reed Exhibitions reserves the right to determine an Exhibitor’s compliance with or violation of these sound level restrictions. We ask that each Exhibitor monitor their own booth to ensure a professional atmosphere on the show floor for all Exhibitors and attendees.
